Chuka University Streamlines Gate Pass Management with Automation

Chuka University has automated the generation of gate passes, a move aimed at improving efficiency and reducing congestion at finance offices. Under the new system, students can generate their gate passes automatically, although physical stamping at the finance office remains mandatory.


According to the university administration, the automation is intended to save time and streamline student movement in and out of the campus. However, students are still required to visit the finance office for stamping, which has resulted in long queues, especially for those with pending fee balances or financial discrepancies that must be resolved in person.

To address these challenges, the university has extended the grace period allowing students without gate passes to remain on campus. This temporary measure is meant to give students with outstanding fees adequate time to clear their balances without being denied access to learning and essential services.


Finance office staff noted that the queues are largely made up of students seeking clarification on their fee statements, payment confirmations, or installment arrangements. By separating students who only require stamping from those with fee related issues, the university hopes the process will gradually become smoother.

Students have expressed mixed reactions to the new system. While many welcome the automation as a progressive step, others argue that the requirement for physical stamping undermines the efficiency of the digital process. Some have called for full automation, including online verification and approval, to eliminate unnecessary delays.

The university management has assured students that the current system is a transitional phase and that further improvements are being considered. For now, students are encouraged to clear their fees promptly and follow the outlined procedures to avoid inconveniences once the grace period expires.
